DGTAL Finance Management — Complete User Guide
Welcome: your business books, in one calm place
This guide shows you how to reconcile a bank account, step by step. DGTAL Finance Management is a bookkeeping and business-tracking app. It helps you see, at any moment, how much you earned, how much you spent, who owes you money, who you owe, and how much is really left. It is built for freelancers, agencies, studios and small teams who are tired of juggling spreadsheets, chat messages and bank statements.
Overview
Before anything else, please read this one idea, because everything in the app follows from it:
This app never moves money. It does not connect to your bank, it cannot pay anyone, and it cannot withdraw anything. It only records numbers that you type in. Think of it as a very smart notebook, not a bank.
Why this design is deliberate
- Your money stays safe. Nobody can log in here and spend your funds, because there is nothing to spend. No bank passwords, no card numbers, no login to your bank are ever asked for.
- It works with any bank, wallet or cash drawer. A local bank, bKash, Nagad, PayPal, Wise, a marketplace like Fiverr or Upwork, a USD account, or physical cash: if you can write the amount down, the app can track it.
- You stay in control. Every figure in the app is something you or your team entered, so you can always explain where it came from.
What you get out of it
| You want to know | Where the app answers it |
| How much money do I have in total? | Dashboard, "Where is my money?" |
| Did I make a profit this month? | Dashboard, Income vs Expense |
| Who still owes me money? | Receivable and Invoices |
| What bills must I pay soon? | Payable, Fixed Expenses, Reminders |
| How much tax should I set aside? | Tax and Tax Reserve |
| Is this project actually profitable? | Projects and Analytics & Reports |
| What does my business look like, in plain words? | Ask Your Business (AI assistant) |
Getting started in 10 minutes
You do not need to set up everything on day one. Do these five things in order and the Dashboard will already start telling you something useful.
- 1Sign up and verify. Enter your email, then type the one-time code we send you. There is no password to remember.
- 2Choose your base currency. This is the currency your totals are shown in (for example BDT or USD). Choose carefully: it is the "language" all your reports speak.
- 3Add your accounts. Open Accounts and add every place your money lives: each bank account, bKash or Nagad, PayPal, cash in hand. For each one, type the amount that is in it today as the opening balance. The next section explains this step in detail, because it matters most.
- 4Add your first income and expense. Open Income or Expenses, pick the account, the category, the amount and the date. That is one record.
- 5Look at the Dashboard. You will see your total balance, this month's income against expenses, and recent activity.
Once that works, add the rest when you need it: clients, projects, invoices, bills you owe, and your team.
Spend two minutes at the end of each day: record every payment that came in or went out. Small, regular entries beat a big catch-up at month end, and your numbers stay trustworthy. They also make it easier to reconcile a bank account later.
Bank accounts & account types
This is the part people ask about most, so here it is in plain words. It also explains how to reconcile a bank account without connecting to your bank.
When you add a bank account in this app, you are not connecting to your bank. You are creating a labelled box in your notebook, for example "City Bank, Current", and writing down how much money is in it right now. That is all.
What the app does NOT do
- It does not log in to your bank, and it never asks for your bank username, password, PIN, card number or OTP.
- It does not send, receive, withdraw or transfer real money. A "Transfer" in the app only records that you moved money between two of your own accounts.
- It does not read your bank statements automatically. Nothing appears in the app unless a person on your team types it in.
- It does not touch, freeze or change the balance in your real bank in any way.
What the app DOES do
- It keeps a running balance for each account, which is the figure you reconcile a bank account against, based on the opening balance you typed and every income, expense and transfer you record afterwards.
- It adds all accounts together, converting foreign currencies to your base currency, and shows the total on the Dashboard.
- It lets you compare that running balance with your real bank balance, so you can spot a missing or wrong entry quickly. That comparison is how you reconcile a bank account in the app.
How to add an account correctly
- 1Open Accounts and click add.
- 2Give it a clear name, for example "Dutch-Bangla Bank - Current".
- 3Choose the type: Bank, Cash, Marketplace, Payment Gateway, Digital Wallet, USD Account or Other.
- 4Choose the currency of that account.
- 5Type the opening balance: the amount that is in the real account at this moment. Look at your bank app or statement and copy the number.
- 6Save. From now on, record each payment as it happens.
The opening balance is only entered once, when the account is created. When you reconcile a bank account later, this figure is the starting point. After that, the balance changes only through the records you add.
You add "City Bank" today. Your real bank balance is 50,000. You type 50,000 as the opening balance.
| What happened | You record | Balance in the app |
| Opening balance entered | opening 50,000 | 50,000 |
| A client pays you | income 20,000 | 70,000 |
| You pay the office rent | expense 12,000 | 58,000 |
| You move 8,000 to your bKash | transfer out 8,000 | 50,000 |
If your real bank balance is also 50,000 at the end, your books are correct, and you can reconcile a bank account with confidence. If it is not, an entry is missing, duplicated or mistyped, and you now know exactly where to look.
Different account types, same idea
| Type | Use it for |
| Bank | Current and savings accounts |
| Cash | Money in the drawer or wallet |
| Digital Wallet | bKash, Nagad, Rocket and similar |
| Payment Gateway | Stripe, PayPal, SSLCOMMERZ balances waiting to be withdrawn |
| Marketplace | Fiverr, Upwork and other platforms holding your earnings |
| USD Account | A foreign-currency account (multi-currency needs the Business Command plan) |
| Other | Anything else that holds value |
Reconciliation: how to reconcile a bank account
Because the app only knows what you tell it, the best way to trust it is to compare it with reality now and then, which means you reconcile a bank account regularly. This is called reconciliation, and it takes five minutes. Following these steps is how to reconcile a bank account in five minutes.
- 1Open the app and note the balance of each account (Accounts page).
- 2Open your real bank app, wallet or cash box and note the actual balance.
- 3Compare them, account by account.
If the two numbers match, your income, expenses and transfers are all recorded correctly, and the total on your Dashboard is the real amount of money you have. If the two numbers still differ after you reconcile a bank account, contact the support desk.
If they do not match when you reconcile a bank account, the difference is a clue. Use it like this:
| What you see | Most likely reason | What to do |
| App is higher than the bank | An expense or a bank fee was never recorded, or an income was entered twice | Scan your bank statement for charges missing in the app |
| App is lower than the bank | An income was never recorded, or an expense was entered twice | Look for deposits missing in the app |
| Off by a round amount (for example exactly 5,000) | One whole entry is missing or doubled | Search that amount in Income and Expenses |
| Off by a small odd amount | A typo, a bank fee or a currency rounding | Check recent entries and foreign-currency conversions |
| Two accounts are off by the same amount in opposite directions | A transfer was recorded on one side only | Open Transfers and check both accounts |
Seeing the whole picture
When every account matches after you reconcile a bank account, the Dashboard gives you the truth about your business:
- Total Available Balance: everything you hold across all accounts.
- Income, minus expenses: what you actually kept this month (Net Cash Flow).
- Receivable: money people still owe you, which is not in your accounts yet.
- Payable: money you owe, which you will have to pay out of your balance.
So the honest question "how much do I really have?" is your balance, plus what you will collect, minus what you must pay. When you reconcile a bank account first, that answer becomes reliable. All of those numbers sit side by side in the app, which is how you see your costs, income and true position in one place.
Rules that keep the books clean
- Record an item the day it happens, with the right account and category.
- Never edit the opening balance to "force" a match. Find the missing record instead.
- Deleted something by mistake? Open Trash and restore it.
- Use Transfers for moving money between your own accounts, so it is never counted as income or expense.
Every section of the app, and why it exists
The left menu is grouped by the job you are doing. Here is what each page is for, so you never wonder "do I need this?".
Your money
| Section | What it does | Why you will use it |
| Dashboard | One screen of your key numbers: total balance, this month's income and expense, net cash flow, receivable, payable, estimated tax, active projects, an Income vs Expense chart, "Where is my money?" and recent activity | Your daily check-in. Thirty seconds tells you if the business is healthy |
| Finance Overview | A wider view of all transactions and expense by category | Understand where the money goes, not just how much |
| Income | Every payment that came in, with account, category, client and date | The record of what you earn |
| Expenses | Every payment that went out, with account, category and date | The record of what you spend, and where you can save |
| Accounts | Your banks, wallets, cash and platforms, each with a balance | The base of everything. See the bank section above |
| Transfers | Moving money between your own accounts, with history | Keeps withdrawals and wallet top-ups from being counted as income or expense |
| Categories | The labels you give income and expenses (rent, software, salary, and so on) | Clean categories make reports meaningful |
Money that is coming and going later
| Section | What it does | Why you will use it |
| Receivable | Money people owe you, from unpaid projects or standalone entries | You stop forgetting who has not paid |
| Invoices | Create and track invoices for clients | A professional bill, and a clear paid or unpaid status |
| Payable | Money you owe to others, with due dates | You are never surprised by a bill |
| Fixed Expenses | Monthly costs that repeat (rent, subscriptions, internet) with a projected total and what is paid this month | Know your fixed monthly burden before the month starts |
| Reminders | Dated to-dos for payments and deadlines, grouped as Today and Upcoming | Nothing important slips past |
| Tax | A tax profile, an estimated tax figure with the working shown, a tax calendar, payments you made, and a Tax Reserve target | Plan what to set aside. These are estimates for planning, not tax advice |
Your clients and your work
| Section | What it does | Why you will use it |
| Clients | A record for each client and their projects | Everything about a client in one place |
| Services | The things you sell, with prices | Faster project entry and consistent pricing |

Your team and daily work
| Section | What it does | Why you will use it |

| Tasks | A task list with status | Keep work moving beside the money |
| Follow-ups | Reminders to chase clients | Turn "I should message them" into a tracked action |
| Calendar | Dates from across the app in one view | See deadlines and due dates together |
Insight and control

| Trash | (Owner only) Deleted items wait here and can be restored | A safety net for mistakes |
| Plan & Billing | (Owner only) Your current plan, what it unlocks, your usage, and plan changes | Stay in control of what you pay for |
| Settings | Your profile, business branding, notification preferences, dashboard sections, tax profile, sign-in, data export, Support & feedback and the danger zone | Make the app fit your business, and reach us when you need help |
Notes that save confusion
- Base currency vs account currency. Totals are shown in your base currency. An account in another currency is converted for the total. Changing an account's currency later only relabels it going forward and does not convert past entries.
- Deleting an income or expense changes your totals and account balance immediately, but you can restore it from Trash.
- Estimates are estimates. Tax figures and AI answers are based only on what you entered. Please treat them as planning help, and confirm with a qualified professional for filings.
